SCHEDULE: Primarily weekdays, 8:00 a.m.-5:00 p.m.  Occasional evenings and weekends may be required.
POSITION DESCRIPTION:

The Hospitality and Guest Experience team aims to create a welcoming and gracious environment for all campus guests, especially prospective students and families. We strive to host five-star guest experiences with LeTourneau University’s unique identity and mission thread throughout each aspect. It is our goal that all LeTourneau University students, dual credit, residential, and online, have a strong sense of belonging and connectedness to the community, and the Visit Center Coordinator plays a pivotal role in leading that charge. The Visit Center Coordinator will lead the organization, curation, and implementation of personalized visit experiences for prospective students and families. They will report to the Assistant Director of Hospitality and Enrollment Visits.

Responsibilities:

  • Become an ambassador of the LeTourneau University mission, vision, and history so that each is threaded throughout team development and guest experience
  • Serve as the front line of the University and greet all guests as they enter the Admissions Center offices
  • Arrange campus visits for prospective students and their families, including personalized guest parking, digital signage, class visitation, faculty appointments, athletic appointments, overnight housing, and other special requests
  • Demonstrate strong interpersonal skills and interact effectively with university constituents, including faculty, staff, current students, Board of Trustees members, and alumni
  • Ensure prospective students receive advance confirmation of their visit, a detailed itinerary, are provided with ample directions and/or a student guide throughout their visit, and receive a visitor bag and school notes
  • Ensure a golf cart is available and cleaned for guests who need transportation around campus
  • Have items ready for campus tours, such as audio technology, water bottles, umbrellas, and ponchos
  • Serve as the liaison for visitors, other university offices, and admissions
  • Provide a hospitable closing for campus visits, ensuring prospective students know how to follow up with any additional questions
  • Maintain quantitative and qualitative data regarding campus visits for quality assurance and continuous improvement
  • Report data, plans, and updates regarding campus visits during team huddles
  • Synthesize survey results from visits for reporting
  • Answer all inbound calls to the Visit Center line and direct calls to the appropriate person/department
  • Assist with data processing of visitor information cards into the CRM and perform other data entry as needed by the department
  • Maintain guests’ itineraries in the CRM, while including thorough notes regarding attendance, needs, requests, etc.
  • Utilize CRM for guest experience insights, engagement journey tracking, and assistance with enrollment events
  • Schedule tours for individual visits and enrollment events
  • Assist with training student ambassadors for professionalism, curating tours, and guest engagement
  • Occasionally serve as backup to Enrollment Events Coordinator and Guest Services Coordinator, including answering the switchboard as needed
  • Attend regular team huddles regarding upcoming events and visits, and provide support for enrollment events
  • Maintain a professional and welcoming environment throughout the Admissions lobby and conference room by restocking the coffee bar and water bottles, cleaning tables, maintaining a professional front desk, and ensuring furniture is properly arranged
  • Work closely with the Assistant Director of Hospitality and Enrollment Visits and support all functions of campus visitation and recruiting events
QUALIFICATIONS:
  • Some college work, degree preferred
  • High level of computer literacy, attentiveness to details, and precision in data entry
  • Ability to work in a fast-paced environment and have excellent multitasking skills
  • The successful candidate will have an outgoing, assertive personality and be able to move between task-based assignments and guests’ needs
