SCHEDULE: Primarily weekdays 8:00 a.m. – 5:00 p.m.
POSITION DESCRIPTION:

Administration:

  • Function with little supervision, keeping the AVP informed on all matters.
  • Works closely with Accounting and Accounts Payable.
  • Process and submit purchase requests, invoices, check requests, employee reimbursements, interdepartmental transfers, and expense reports.
  • Maintain good working relationships with faculty, staff, administration, and students.
  • Maintaining department assets, and property inventory list.
  • Maintaining Petty Cash.
  • Ordering office supplies for department.

Provide Leadership to Department:

  • Assisting in the hiring process.
  • Maintaining calendars in Facilities Services.
  • Provide secondary coverage for Payroll, Time Clock issues, creating work orders, dispatching work orders, distributing University keys, scheduling vehicles and bus drivers for University usage.

Communication:

  • Communication with other departments regarding campus activities.
  • Correspondence with contractors, and external service providers.

Support AVP:

  • Update gas, electricity, and water utility spreadsheets monthly.
  • Maintaining compliance records associated with local and state regulations.
  • Involved with processing documents for construction projects.
  • Provide quarterly budget summary for the Facilities leadership members.

Auxiliary Support:

  • Lead contact for university vending services, acting as main point of contact for vending services – (drinks, snacks).
  • Coordination with approved driving records, certificates of insurance, etc.

  • On time attendance.
  • Cooperation and collaboration with team members and cross functionality.
  • Respect for LeTourneau University leadership and authority structures.
  • Agreement with and abiding by the Statement of faith and Community Covenant.
QUALIFICATIONS:

Bachelor’s degree or associate’s degree with equivalent experience and skills relevant to the position, excellent verbal and written communication skills, listening skills, experience in an office environment in which he/she has demonstrated maturity, initiative, good secretarial skills including computer proficiency with Word, Excel and Outlook, and the ability to work effectively in a team relationship with fellow staff and faculty members and within the community of LeTourneau University. An understanding of general accounting principles is preferred.
