SCHEDULE:

This part-time position assists in coordinating the daily operations and business functions of Conference & Event Services and Auxiliary Services, providing administrative support, customer service, invoicing, payment processing, and operational assistance as needed.

POSITION DESCRIPTION:

This part-time position provides administrative, clerical, and operational support for Conference & Event Services and Auxiliary Services. Responsibilities include answering and directing phone calls, assisting with event setup and preparation, performing basic computer and office tasks, maintaining records, and providing general customer service. The position also assists with light housekeeping duties, including trash removal and maintaining organized event and office spaces. Additional responsibilities include supporting business operations through credit card reconciliation and reporting, invoice and bill processing, receiving and documenting payments and checks, maintaining departmental records, and processing routine requests in the Event Management System (EMS). This employee will assist staff with daily operational needs and perform other duties as assigned to support the successful operation of Conference & Event Services and Auxiliary Services.

  • Assist the Director of Conference & Event Services, University Event Manager, and other team members as assigned.
  • Support the daily operations and objectives of Auxiliary Services.

Event Management System (EMS) Support

  • Process and monitor room reservation requests in EMS.
  • Gather event information from requestors to facilitate scheduling and planning.
  • Coordinate basic event needs with campus service providers.
  • Review event requests for accuracy and completeness.
  • Assist with scheduling adjustments, setup and teardown times, and room assignments as needed.

Administrative and Business Support

  • Answer and return phone calls in a professional and timely manner.
  • Maintain accurate records, files, and departmental documentation.
  • Utilize Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Prepare correspondence, reports, and other documents as assigned.
  • Process deposits, invoices, check requests, and other university forms.
  • Assist with credit card reconciliation and reporting.
  • Maintain electronic and physical data files.
  • Perform general clerical and administrative duties as assigned.
  • Maintain confidentiality in all business and personnel matters.

Office, Storage, and Equipment Management

  • Keep shared office, copier, and storage areas clean, organized, and free of clutter.
  • Assist with stocking and organizing office and event supplies.
  • Help maintain common areas, equipment, and workspaces.
  • Organize and maintain event equipment, supplies, and storage locations.
  • Coordinate routine cleaning and organization of storage areas and shared spaces.
  • Retrieve, secure, and monitor departmental golf carts as needed.
  • Check golf cart fluid levels and report maintenance concerns.
  • Assist with scheduling routine golf cart maintenance and repairs.

Event Support

  • Assist with event setup and teardown, including tables, chairs, and equipment.
  • Install, remove, and care for table linens as needed.
  • Assist with creating event setup diagrams and layouts.
  • Communicate with event requestors regarding assigned event needs.
  • Purchase or pick up event supplies and materials as directed.
  • Support university events, conferences, camps, and special programs.
  • Assist with summer camp operations and event support activities.
  • Perform light physical labor associated with event operations.
  • Ability to lift and carry up to 42 pounds.

Work Environment:

  • This position may require occasional evening and weekend work depending on event schedules.
  • The role will involve working both indoors and outdoors, and may require interaction with diverse groups of students, faculty, staff, and external clients.
QUALIFICATIONS:

Preferred: Bachelor’s degree, associate degree or equivalent professional experience. The candidate should have good written and oral communication skills, experience in handling a wide variety of situations and people, problem solving skills and knowledge of the educational process. Good listening, decision-making, time management, organizational skills, and accuracy in details are desired. LeTourneau University seeks a person with an enthusiastic and maturing Christian faith who desires to work in this important outreach ministry at LeTourneau University.

SALARY: Pay will be per hour and commensurate with experience and other qualifications.
