POSITION DESCRIPTION:

The Hospitality and Guest Experience team aims to create a welcoming and gracious environment for all campus guests, especially prospective students and families. We strive to curate a five-star guest experience with LeTourneau University’s unique identity and mission thread throughout each aspect. The Assistant Director of Hospitality and Enrollment Visits will lead the initiatives in planning, implementing, and consistently improving campus visits, including individual and group visits, preview events, and enrollment events. Our goal is for all dual enrollment, residential, and online LeTourneau University students to have a strong sense of belonging and connectedness to the community, and the Assistant Director of Hospitality and Enrollment Visits plays a pivotal role in leading that charge. Additionally, the Assistant Director will oversee a team of staff dedicated to curating a memorable and hospitable campus visit experience; direct supervisees will include the Enrollment Events Coordinator and the Visit Center Coordinator.  The Assistant Director will report to the Assistant Vice President for Hospitality and Guest Experience.

 

Responsibilities:

  • Become an ambassador of the LeTourneau University mission, vision, and history so each is threaded throughout team development and guest experience
  • Monitor all operational and logistical projects related to hospitality and guest experiences
  • Oversee the personalization of campus visits, including customizing visit itineraries, keeping appropriate constituents (i.e., admissions counselors, faculty, etc.) apprised of visitor details, and communicating roles and responsibilities to those assisting with visits
  • Ensure service excellence is at the forefront of event/visit planning and logistics
  • Provide planning oversight and troubleshooting for events and visits
  • Create and manage a campus-ready checklist and assist the Assistant Vice President for Hospitality and Guest Experience in evaluating showrooms and tour routes and submitting needed work orders
  • Create and steward a campus tour portfolio, including tour routes and scripts
  • Maintain and improve tour scripts while adding updated, pertinent information, such as the construction/opening of new buildings
  • Conduct audits and gather survey feedback for events and visits for quality assurance and continual improvement
  • Gather feedback from faculty/staff regarding visits and events for quality assurance and continual improvement
  • Synthesize survey results from visits and events for reporting
  • Coordinate with the EMC team regarding the CRM engagement journey for prospective and new students to effectively integrate communications regarding events and visits, and to celebrate acceptances and welcome new students to the LETU community
  • Utilize CRM for guest experience insights, engagement journey tracking, and enrollment events planning
  • Schedule and oversee team meetings and communications for upcoming visits and events
  • Serve as a primary point of contact and provide hospitality training to those participating in enrollment events (i.e., staff and volunteers)
  • Collaborate with Visit Center Coordinator and Assistant Vice President for Hospitality and Guest Experience to build robust ambassador training for job expectations, leadership, professionalism, storytelling, and hospitality
  • Serve as the primary point of contact for Admissions Counselors when personalizing prospective student visits and bridging information transfer between visits and admissions processes
  • Ensure the online experience for finding pertinent information and registering for events and visits is seamless and user-friendly
  • Serve as liaison for Marketing and technology support before and during events
  • Serve as liaison for on-campus and off-campus meal providers for events
  • Collaborate with Marketing to ensure analog and digital signage is LETU-branded and updated regularly
  • Manage budget for visits and events
  • Manage the purchasing of supplies needed for hospitality and events
  • Assist the Assistant Vice President for Hospitality and Guest Experience in organizing and leading team huddles before each event, including prayer, an overview of the sequence of events, roles, and responsibilities, and providing a small breakfast for staff and volunteers
  • Provide professional development opportunities for staff that lead to service excellence and high-quality hospitality
  • Oversee check-in and check-out process for events, welcome guests, and guide guests to refreshments and the next meeting location
  • Answer the Hospitality main phone line
  • Supervise the Visit Center Coordinator and Enrollment Events Coordinator and serve as backup as needed
  • Other duties may include answering the switchboard telephone for brief periods of time and assisting the Assistant Vice President for Hospitality and Guest Experience on special projects
