SCHEDULE:

Office hours are primarily weekdays 8AM - 5PM, but responsibilities will occasionally require additional hours and flexibility that can include evenings and weekends.

POSITION DESCRIPTION:

The Administrative Assistant is an operational partner, reporting to the Vice President for Enrollment, Marketing, and Communications. This person supports the Vice President, the EMC leadership team, and other EMC team members in the daily operations of the Office of Enrollment, Marketing, and Communications to ensure successful business outcomes.

 

The Administrative Assistant to the Vice President for Enrollment, Marketing and Communications:

 

  • Support the expansion and stewardship of LeTourneau University’s missional impact.
  • Contribute to a cohesive, aligned, dynamic and results-oriented Office of Enrollment, Marketing, and Communications leadership team.
  • Support the positioning of LeTourneau University to deliver on our brand promises in ways that both affirm and/or confirm our commitment to students and their families.
  • Support the expansion of LeTourneau University’s reach and influence with prospective students and families in ways that leverage positive word of mouth, peer-to-peer and peer-to-network referrals and reinforces LeTourneau University as the premier destination in Christian higher education.
  • Support the optimization of the digital and in-person visit experiences to showcase, engage, and nurture prospective students and families that result in high-performing enrollment funnel yield.
  • Support the creation and curation of memorable experiences that strengthen the love and trust that others have in the LeTourneau University brand.
  • Support the accelerated and exponential enrollment growth in dual credit, on-campus, and online student populations.
  • Support the EMC leadership in the EMC Business Plan, Business Plan Review and Special Attention Meeting process. Maintain good working relationships with faculty, staff, administration and students.
  • Coordinate all departmental engagement action plans related to the annual LETU Team Member Engagement survey.
  • Manage the calendar for Vice President for Enrollment, Marketing and Communications – schedule and coordinate meetings, events, brand interviews, speaking engagement, appointments, other similar activities, including but not limited to, coordinating travel and lodging arrangements.
  • Manage filing system for Vice President for Enrollment, Marketing and Communications.
  • Facilitates designated correspondence for the Vice President for Enrollment, Marketing and Communications.
  • Work closely with other administrative assistants, vice presidents and the president’s office regarding events, meetings and issues that affect the campus.
  • Coordinates staff vacation calendar.
  • Maintain EMC contract portfolio.
  • Serves as point of contact for the Office of the Vice President for Enrollment, Marketing and Communications line (ext. 3290) and direct line.
  • Serve as the primary University switchboard operator.
  • Coordinate all fulfillment of external SWAG requests in partnership with the Hospitality and Guest Experience team.
  • Assist the Hospitality and Guest Experience team in the planning and implantation of all weekend enrollment events including Previews, Heritage, and SWARM.
  • Assist the Vice President for Enrollment, Marketing and Communication in the coordination and stewardship of the VP sales portfolio powered in Salesforce.
  • Coordinate key special projects as assigned by the Vice President for Enrollment, Marketing and Communications.
  • Coordinate the annual EMC communication to campus and key constituents.
  • Serves as the primary point of contact and key disseminator of general campus info to the EMC team and ensure campus-wide events are on the team’s calendars.
  • Oversee check requests / purchase orders / budget transfer requests / annual renewals / contract submissions / freelancer set-up and payments / payroll approval.
  • Coordinate invoice payments for completed EMC projects EMC on behalf of other campus departments.
  • Manage expense reporting for the Vice President for Enrollment, Marketing and Communications and all other relevant expense reporting for departmental charges.
  • Maintain UMC repository of forms and relevant files, including the current brand portfolio of university ads, print collateral, marketing material, etc.
  • Departmental scheduling for room reservations, meeting requests with all logistical correspondence and any relevant meal arrangements.
  • Departmental purchasing of office supplies, project-related orders and equipment.
  • Provide regular departmental budget and expense tracking reports to EMC leaders and the Vice President for Enrollment, Marketing and Communications.
  • Manage all of the EMC inventory including signage, print collateral, displays, SWAG, etc.
  • Coordinate general work orders and other departmental requests. (IT, Conferences & Events, Facilities)
  • Assist with web content management system (CMS) training, respond to basic CMS user questions and complete basic web updates (ex. annual campus statistics, changes in personnel, etc.)
  • Coordinate with external vendors and associated proposals/agreements.
  • Serve as the liaison with the USPS regarding EMC mailings and postage.
  • Coordinate various departmental requests from offices across campus including email/mail distribution lists, institutional statistics, survey information, etc.)
  • Assemble content for semi-annual board report and other reports as needed.
  • Assist with departmental project management, timing and logistics including the editorial calendar, EMC project list, engagement journeys, etc.
  • Coordinate with the Office of the President as needed including annual projects such as the Christmas card, etc.)
  • Assist with updating the university calendar.
  • Assist with questions regarding the LETU visual brand identity guide.
  • Assist with general brand content proofing and quality control.
  • Other duties as assigned by the Vice President for Enrollment, Marketing and Communications.
QUALIFICATIONS:

Bachelor’s degree preferred. Associate’s degree with equivalent experience and skills relevant to the position will be considered. Excellent verbal and written communication skills, listening skills, experience in an office environment in which he/she has demonstrated maturity, initiative, good office management skills including computer proficiencies.

SALARY: Salary is competitive and commensurate with experience and other qualifications.
