SCHEDULE:

Office hours are primarily weekdays, but responsibilities may occasionally require additional hours and flexibility. 

POSITION DESCRIPTION:

The Dean’s Assistant in the College of Aviation & Aeronautical Science provides coordination of all activities and duties for the Office of the Dean in the College of Aviation & Aeronautical Science. This includes direct support of the dean and associate dean.

  • Assist the Dean in all matters pertaining to the efficient operation of the College of Aviation & Aeronautical Science.
  • Provide secretarial support to the Dean and Associate Dean.
  • Handle calendar, mail, and phone calls for the Dean’s office.
  • Compose, proofread, and edit documents for the Dean’s office.
  • Work with the University’s marketing department to assure frequent and relevant posts on Facebook, X and Instagram.
  • Schedule and host meetings, including coordinating meals, making travel arrangements, reserving meeting rooms, coordinating seating set ups, and taking minutes.
  • Assist the Dean in monitoring the school’s operational budgets.
  • Prepare employment forms for faculty, and staff.
  • Prepare financial paperwork, including check requests, expense reports, and purchase orders.
  • Coordinate activities and duties of the other secretaries with the school of aviation.
  • Prepare meeting agendas for the school’s leadership team meetings and take minutes of the meetings.
  • Cover the critical tasks of the other the aviation administrative positions during personnel transitions and help train newly hired secretaries.
  • Other duties assigned by the Dean.
  • Serve as a backup proctor for the schools FAA testing center.

  • Exceptional secretarial/ administrative assistant experience
  • A positive “can do” attitude

  • Excellent organizational and communication skills
  • Ability to work in a dynamic, and sometimes frenetic, environment
  • Ability to maintain confidentiality
  • Ability to relate to students, faculty, and staff
  • Excellent computer skills in Microsoft Office
SALARY: Salary is competitive and commensurate with experience and other qualifications. LeTourneau University provides a significant benefit package, which includes medical and life insurance and contribution to a retirement program.
