SCHEDULE: Full-time staff position working primarily weekdays, AM to PM, with occasional overtime and weekends when required.

The following statements describe the general nature and level of work performed. They are not as an

  • Provide administrative support such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquires.
  • Provide correspondence (formal letters, emails, etc.) for Director which may include composing and/or editing letters or other written documents.
  • Communicate directly with alumni via phone, emails, and written notes.
  • Communicate with and help coordinate Alumni Council communication and meetings.
  • Assist in planning and executing key alumni events throughout the year (Homecoming Weekend, Hootenanny Weekend, etc.), including reports, registrations, coordinating and working with volunteers, etc.
  • Help communicate, coordinate and facilitate alumni-sponsored activities for students and current parents (welcome and finals kits, celebration cakes, etc.)
  • Assist in Alumni Office digital and web presence (social media, web site updating and management, etc.)
  • Assist in the design of Alumni office publications (promotional material, postcards, flyers, email blasts,etc.)
  • Maintain calendar for director concerning meetings, events, etc.
  • Maintain archives and files.

Additional Responsibilities: 

  • Work as a team member with all the members of the Development staff and other campus offices.
  • Maintain a friendly, professional working atmosphere
  • Help create a warm, welcoming atmosphere for alumni, donors, friends, and family of the university
  • Perform general administrative support.
  • Treat sensitive information with complete confidentiality.
  • Perform other university-related duties as required 



  • A bachelor’s degree or equivalent in training and experience
  • Excellent writing and editing skills
  • Ability to organize and manage multiple assignments and deadlines
  • Must demonstrate proficiency in the Microsoft Office Suite (incl. Word, Excel, Outlook) and able to process mail merges, data management, etc.
  • Demonstrate knowledge of fundamental concepts, best practices, and procedures of graphic and web design; experience with Adobe Suite and/or preferred
  • Willingness to learn and be efficient user of our fund-raising software: Raisers Edge
  • Courteous manner in dealing with the public
  • Ability to communicate effectively both verbally and in writing
  • Good time management skills
