REPORTS TO: Director of Flight Operations, School of Aeronautical Science
SCHEDULE: Office hours are primarily weekdays, but responsibilities may occasionally require additional hours and flexibility that can include evenings and weekends.
  • Oversee flight instructor payroll and student billing process.
  • Oversee purchase order generation and approval for all fuel invoices.
  • Create monthly expense reports for department credit cards and maintain the Flight Department petty cash fund.
  • Assist with paperwork and orientation process for new Flight Instructors.
  • Maintain employment files of flight instructors and department personnel.
  • Comply with TSA recordkeeping requirements for students and employees, assisting with inspections as required.
  • Obtain and distribute required internally generated flight training documents.
  • Enter and maintain flight student course data.
  • Schedule student check rides with FAA examiners.
  • Assist with dispatching flights. Involves checking credentials and weather requirements. This position is not responsible for fueling aircraft.
  • Assist Chief Instructor/Director of Flight Ops with training manual revisions and updates.
  • Assist with aircraft registration and preparation of aircraft acquisition paperwork.Additional duties as assigned.
  • B. S. degree preferred
  • Minimum three years secretarial experience
  • Proficiency with Microsoft Office, including Word, Excel, and Access
  • Superior attention to detail and excellent focus while managing multiple tasks
  • Experience reconciling accounts and working with billing processes
  • Ability to perform without supervision, yet able to work with others in a team effort
  • Ability to learn new processes and accomplish tasks with accuracy
