SCHEDULE: Office hours are primarily weekdays, but responsibilities require additional hours and flexibility that will include evenings and weekends.
POSITION DESCRIPTION:

The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of one so classified.

The LeTourneau University Registrar’s primary functions are to safeguard the integrity and security of the university’s records and degrees. The Registrar will protect the privacy interests of all individuals and, as the university official responsible for FERPA compliance, maintain appropriate confidentiality of institutional and student education records. The Registrar will act as a steward and resource regarding institutional policies and practices and promote such policies and practices that serve the two primary obligations noted above. The Registrar plays a central role in the development and implementation of university academic and administrative policies affecting students and courses, both internal to the institution and in inter-institutional matters as appropriate.

  • Provides strategic planning, direction, and supervision for the Office of the Registrar
  • Responsible for supervising/managing functions within the Office of the Registrar including the student information system, electronic records storage, registration, student academic records, recording transfer credit, degree audit and clearance, athletic eligibility and certification, veterans’ certification, scheduling courses, scheduling exams, and the university catalog.
  • Cultivates an environment that is student centered, supporting student success and retention
  • Collaborates with the Office of the Provost, Cabinet Officers, Deans, Faculty, and Information Technology to facilitate and improve services to students and continue to improve the services provided by the office.
  • Foster a spirit of collaboration with the university community including effective outreach of the Office’s mission and goals
  • Collaborate with Enrollment Services and Student Life to ease the transition of new and transfer students to LeTourneau, to include active participation in events such as Summer SWARM
  • Coordinate, in conjunction with the Office of the Provost, May and December graduation ceremonies in Longview
  • Identify innovations in the Registrar’s Office that maximizes both organizational and technological resources and improves customer service experience for all LeTourneau students
  • Together with Information Technology, lead in the technological innovation of the Office of the Registrar
  • Participates in the selection of staff and will orient, counsel, supervise, mentor and evaluate performance
  • Cooperates with the Office of Institutional Research to verify annual reports and statistical surveys including final census reports each semester
  • Monitor the effectiveness of the Registrar's Office through the completion of Institutional Effectiveness Plans and Reports
  • Serve on university committees or task forces as appropriate
  • Perform other related duties as required and deemed appropriate in support of the Office of the Provost to accomplish assigned responsibilities and functions of office

 

The Registrar provides leadership for a staff of 8 and manages the Office of the Registrar budgets.

QUALIFICATIONS:
  • A master’s from a regionally accredited university
  • A minimum of four years of experience in a university records office and demonstration of increasing levels of responsibility
  • Experience in non-profit, Christian higher education
  • Experience with distance or online education
  • Understanding of best practices in the management of academic records
  • Technological expertise including a high degree of facility with a relationship database such as Microsoft Access or SQL
  • High degree of personal integrity and ability to manage sensitive information confidentially
  • Highly motivated with strong organizational skills, excellent oral and written communication skills, ability to manage multiple projects, set priorities, and work effectively with a team
