Primarily weekdays, 8:00 a.m.-5:00 p.m.  Occasional overtime and weekends may be required.


This position within the Development Department fulfills a critical role, ensuring that all donors experience a positive reception of their gifts and affirming the university’s integrity to use the gifts in accordance with the donors wishes. Additionally, the position’s professional implementation is significant in assuring the overall health of the university’s development database.  Accordingly, specific responsibilities include:

  • Receive and receipt donations to the university (cash or in-kind) including, but not limited to picking up mail from post office, processing mail, creating a daily data entry of contributions, depositing checks, creating accounting reports, producing and mailing gift receipts,
  • Personalizing correspondence as required, reporting, maintaining files, reconciling with the business office,
  • Answering the telephone and taking messages.
  • Provide information to other campus offices as well as donors as it relates to the receipting of gifts.
  • Work with the Administrative Assistant (Database Administrator) to assist in identifying and correcting data issues within the database.
  • Work with and under the direction of the Administrative Assistant (Database Administrator), serving as a backup to that role, when available and needed, to engage in query creation, data exports, data imports, etc.

Duties may vary at times of high activity, (i.e., mass mailings, special events, or setting up meetings.)  Works in close cooperation with other advancement staff.


High School education required, a college degree preferred.  Four years of clerical experience plus experience with data entry, light accounting is preferred. 

Experience using Microsoft Word, Excel and database software to prepare letters and financial reports and to maintain records is preferred.  Previous experience working with databases preferred and specific experience working within a Raisers Edge database environment is a strong preference. 

Applicant must be organized and have the initiative and ability to function without continual supervision.  They will work accurately under pressure in an environment that can on occasion call for high-volume processing with the ability to meet deadlines.  An aptitude for detailed work and strong analytical skills are also required.

Ability to maintain a good working relationship with co-workers and the general public (including good phone skills) is required.

Ability to use good judgment in recognizing their scope of authority is required.

Experience in a fundraising setting is preferred.

LeTourneau university is looking for a candidate that is interested in growing in their understanding and proficiency with the university’s development database. With the anticipated retirement of the Advancement Departments Database Administrator, it is the hoped that a successful candidate would serve as Coordinator of Donor Services for several years while being trained in all facets of the university’s Raiser’s Edge Database with the hope* that the incumbent might become qualified and able to assume the Database administrator role.
