This position supports the University Development Department providing general administrative support to the Development team and targeted support for Executive Director for the LeTourneau University Foundation. This position assists in fulfilling and stewarding donors and serves as the first face and point of contact for those who enter the Development Office.  The position also provides back-up support for entering gifts to the university into the university donor software.

  • Provides support to the Executive Director of the LeTourneau Foundation with duties including but not limited to creating proposals as directed, processing of deferred gift agreements and payments, data entry of deferred gift data into planned giving database, preparation of 1099R’s for donors and government entities on a yearly basis and mass mailing of planned giving correspondence twice a year.  Assists in completion of endowed scholarship agreements, maintaining constituent records, processing expense reports and handling phone calls.
  • Assists with the creation and execution of the proper legal instruments to assure an accurate portrayal of purposed giving vehicles in both their intent and design.
  • Provides support to the Secretary of the Foundation with respect to notices and logistics of all meetings and keep or cause to be kept all minutes from such meetings in accordance with the Foundation by laws.
  • Implements procedures that meet operational and/or fiscal policies.
  • Drafts financial, statistical, narrative, and/or other reports as requested.
  • Serves as backup to Donor Relations and Gift Entry Specialist and will become proficient with the university donor software system, Raiser’s Edge to processes donor checks and gifts, completes routing and tracking forms, generates appropriate acknowledgments. Updates donor database with notes, strategic plans, contact reports, tasks, etc. to ensure most current and relevant information is available. Shares information with other team members. Researches and resolves issues or discrepancies daily regarding donations, fund transfers, and new gift funds. Follows up to confirm changes have been made
  • Performs related duties as assigned. Duties may vary at times of high activity, i.e. mass mailings, special events, or setting up meetings. Works in cooperation with Development staff.
  • Acts as liaison with the University regarding questions, research information, reports, and operations. Coordinating with finance to achieve investment reports and feedback.
  • Assists the Vice President with the President’s Advisory Council
  • Other duties as assigned.
Education: High School education required, some college preferred. 
Experience: A minimum of three years of administrative experience; non-profit, events and development/fundraising experience preferred.   Must have initiative and ability to function without continual supervision plus a high degree of organizational ability and accuracy in details.
Software Utilized: Micro Soft Office including Outlook, Word, Excel, PowerPoint; and Internet required.

-          Fluent in Microsoft Office (Outlook, Word, Excel, PowerPoint).
-          Knowledge of general office procedures, protocol and professionalism; expert
           knowledge of Business English, spelling, punctuation and   grammar.
-          Ability to manage multiple tasks simultaneously, adapt to changing priorities,
           manage time and meet deadlines.
-          Proven ability to work in a team environment, develop effective interpersonal
           relationships, provide superior customer service, and communicate verbally
           and in writing.
-          Data entry skills with ability to input information accurately; prepare and
           maintain detailed records, files, and reports on an ongoing basis.
-          Ability to coordinate technical presentations including hardware set up.
-          Solid knowledge of database management with the ability to query reports,
           utilize data, and convert programs.
-          Work with accuracy and attention to detail and solid knowledge of money
           handling and mathematics.
-          Ability to handle private, confidential information
-          Solid knowledge of multi-line phone system.
-          Solid knowledge of fundraising concepts.
-          Personal computer proficiency required, especially as related to the software
           referenced under “software utilized”.
