SCHEDULE:
Office hours are primarily weekdays, but responsibilities may occasionally require additional hours and flexibility that can include evenings and weekends.
POSITION DESCRIPTION:
The responsibilities and functions for this position are to be in support of the Vice President for Global Operations  with some responsibility to assist the administrative offices with scheduling and greeting visitors. The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required.

RESPONSIBILITIES AND FUNCTIONS:
  • Coordinate and record all global textbook adoptions.
  • Contract writers for global course updates, revisions and creations.
  • Coordinate travel arrangements, reservations, and conference registrations.
  • Oversee and monitor monthly budget reports.
  • Perform special projects as assigned which may involve research, coordination with departments, formulation of procedures, and consideration of budgetary impact.
  • Work closely with administrative assistants, university committees, and others in scheduling campus meetings which may include the coordination of facilities and arrangements with food service.
  • Compile Global Operations sections of the Board of Trustees semi-annual report.
  • Maintain a strong professional decorum and assure warm atmosphere.
  • Perform a variety of general office duties.
  • Design and produce reports and other documents.  Perform a variety of computer work including use and design of word processing, databases, spreadsheets, slide presentations, and desktop publishing.
  • Manage TimeClock/Payroll time for hourly and salaried employees in Global Operations.
  • Manage calendar, appointments and meetings for the Vice President of Global Operations.
  • Complete monthly expense reports.
  • Maintain organization chart for Global Operations.
  • Greet visitors to the administrative offices and receive incoming calls for these offices.
Operate with a high degree of confidentiality regarding all matters of the office.
QUALIFICATIONS:
This person must possess an enthusiastic and contagious Christian faith and be committed to service at a dynamic, interdenominational, evangelical Christian university where the integration of faith and academic excellence is paramount.

Qualifications include bachelor's degree or associate's degree with equivalent experience and skills relevant to the position. The person must be adept at greeting and communicating with faculty and staff, trustees, community leaders, higher education organizations, and other constituents in a friendly, professional manner, and with a high level of confidentiality. The administrative assistant must possess excellent verbal and written communication skills, organizational skills, listening skills, and must have had experience in an office environment in which he/she has demonstrated maturity, initiative, and good general secretarial skills, including computer proficiency, filing, writing, and editing. This person must have the ability to work effectively in a team relationship with fellow staff and faculty members and within the community of LeTourneau University. This person must be self-motivated and able to work with minimal daily supervision.
