SCHEDULE: Office hours are primarily weekdays, 8:00 a.m. – 5:00 p.m., but responsibilities may occasionally require additional hours and flexibility, including evenings and weekends.

Under the supervision of the Vice President for Athletics | Athletic Director, the Administrative Assistant is responsible for supporting a team of professionals in the daily operations of University Athletics. Specific expectations, duties, and responsibilities include:

• Serve as the primary point of contact and disseminator of general department information

• Support all athletic business functions and athletic staff

• Maintain applicable working relationships with faculty, staff, administrators, and students

• Collaborate closely with individuals regarding events, meetings, and issues that affect the department and facilities

• Supervise and conduct departmental purchasing of office supplies, project-related orders, and other supplies

• Maintain petty cash

• Expense report processing

• Coordinate reimbursements, purchase orders, check requests, and invoice payments

• Generate general work orders and other departmental requests. (I.T., Conferences & Events, Facilities)

• A balanced understanding of Human Resources and Payroll Processing and related documents

• Oversee payroll approval and timely processing

• Assisting in the recruitment and complete hiring process for new employees and student workers

• Generate required new hire electronic forms and overseeing the process

• Timely processing of Dynamic Forms

• Utilize SharePoint, eBridge, Concur, Cognos Web/Analytics, and Athletic Reporting Tool, as well as Microsoft and other software, word processing, databases, and spreadsheet programs as needed

• Other duties as assigned by the Vice President for Athletics | Director

• Basic computer networking skills for troubleshooting office equipment and other
